Accounts Payable Software

Accounts payable refers to financial transactions that cover the payments which a company has to give to its suppliers for the services and goods they provide. A company carries out this transaction by creating checks to its suppliers on a monthly basis. A business that has become too large to manually perform this task can use an accounts payable software.

This type of software application is specifically designed to manage all aspects and procedures related to the accounts payable of a business. Its primary feature is the accounts payable ledger, which is a list of the amounts owed by the company and the supplier it owes the money to. This feature tracks the total of each outstanding invoice and the due date for the payment. Furthermore, the accounts payable ledger needs to be frequently updated when new purchases are made to remove previous outstanding liabilities.

The second important feature of an accounts payable software is the module that prints checks and other related payment advices. An advice is a detailed list which contains the payments made by the company. The information in an advice is important particularly if the company is paying more than one invoice or making a partial payment.

Lastly, one of the more advanced features of an accounts payable program is the function which connects the program to a wire transfer or a system for electronic payment. This is helpful specifically to companies that have overseas suppliers, although the company first has to determine if their supplier supports these methods of transferring payments. In addition, these money transfer systems limit their services to companies that are sending larger amounts of payments.
